- OVERVIEW
Overseas the complete administrative operations of the Retail division and ensures a smooth and efficient work environment. It is an independent position & requires strong leadership and management skills with the ability to understand the requirements, analyze situations and take appropriate decisions. Knowledgeable in all facets of Retail Administration including liaising with property owners, negotiations, legal and regulatory affairs, and also in maintaining Employee Relations, Compensation & Benefits, Grievances & Labour related issues.
MAIN JOB RESPONSIBILITIES
Outlet Administration
Supervise and oversee the tracking of company records and ensure timely renewals of contracts, labour cards, tenancy contracts, trade licenses, sign board licenses, etc..
Maintain an up-to-date information of the DED requirements and ensure compliance in all the outlets.
Supervising the monitoring of the check list to ensure availability of the documents required in the outlets like ESMA certificates, Product registration, Inspection card, price tags, etc..
Coordinate and negotiate with the property owners and mall managements of existing outlets for renovations, lease renewals, etc..
Supervise the Store Roll out plan.
Provide necessary approvals for routine maintenance related expenses, shop cleaning contracts, and routine LPOs.
Verify and provide necessary approvals for vehicle related requirements like maintenance, petrol, etc..
Personal Administration
Verify and initiate appropriate actions for the execution of requests related to annual leave, emergency leave, various certificates, passports, family visas, business visas, and other requirements.
Delegate tasks to the PROs and monitor their performance.
Supervise all the activities related to visa compliances, joining formalities, & supporting the on-boarding process.
Supervise and oversee the tracking of employees records to ensure timely renewals of passports, visas, labour cards, IDs & cancellations.
Supervise and monitor the annual leave calendar, cross verify the leave due and F&F settlements.
Initiate appropriate disciplinary actions in cases of misconducts, violation of company policies, non-resumptions post vacation, late resumptions, etc..
Administer the staff accommodation, Transport, staff welfare.
Approvals for uniforms, badges, basic amenities and other requirements.
Coordinate between the Payroll dept and the outlets to ensure smooth execution of payroll activities.
Resolve biometric attendance related concerns raised by the payroll dept.

Ensure that the department runs smoothly and accomplishes its goals on a daily basis.
Decision making - Analyze situations and determine the best course of action, in the interest of the company
Ensure administrative efficiency, proper procedure, implementation of policies and employee morale.
PERSON SPECIFICATION
Work Experience : 4-5 years of Administrative Operational experience in a Retail Organization.
Gulf Experience is a must
Academics : Graduate, preferably PG in Business Administration
Knowledge : Administration knowledge
UAE Local law and legal awareness
MS Office.
