Personal Assistant for Malawi

    We have an excellent international Opportunity for you for the position of Personal Assistant to the Directors (Preferably male Candidates) for one of the Leading FMCG Company at Malawi location.

    Job Description:

    1. To independently handle contracts for both Purchases and Exports.

    2. To oversee companys Insurance related matters like following-up on pending Insurance claims and ensure that all the current claims are lodged with Insurance Company in a timely manner. To report to management about the status of all the claims.

    3. To provide a Comprehensive Secretarial and Administration function to the Directors across the range of their work.

    4. To develop, maintain and review Administration Systems of the organization to achieve maximum efficiency.

    5. To maintain and organize the Directors diary, filing system and all other relevant areas as necessary.

    6. To support the Directors in their projects, proposals, bids, etc. through research, consultation, team-management 

    7. To facilitate meetings, schedule debriefing meetings so follow up action can be implemented. Also by arranging refreshments, seating and taking minutes if required to do so.

    8. To co-ordinate Staff and/or Management meetings as instructed by Directors.

    9. To respond to staff members and other stakeholder queries in a timely and professional manner, both orally and in writing.

    10. To co-ordinate and make necessary travel arrangements like Flight Ticket Bookings and Hotel Bookings of Directors for their travels.

    11. To compile Board papers and ensure they are sent in good time for meetings. To circulate reports, minutes and agendas for Board and other Management meetings. To liaise with the Directors and other Senior Members of staff on various matters as required.

    12. To be responsible for receiving enquiries and providing an effective referral service to service users.

    13. To maintain the complaints file and ensure all complaints are responded to within target timescales. 

    14. To maintain and continuously keep up to date all CORIs mailing lists.

    15. To liaise positively and professionally with colleagues and visitors.

    16. Commit to working proactively to support both the Management and staff members.

    17. To be amiable, professional and approachable at all times.

    18. Any other duties commensurate with the accountabilities of the post.
