Job Criteria :
Qualification : Graduation in any discipline
Experience : 4 - 5 years into HR & Admin responsibility
Industry Preference : Airline Industry (mandatory). However, talents from Hospitality industry like Cruise shall also be preferred.
Age : Below 32 years
Gender : Female

Compensation : 
  • USD 1,100 to 1,300 per month
  • Single room accommodation in shared apartment
  • Medical Insurance
  • Return air tickets once per year after completion 12 months continued service
  • Annual Holiday.
Job Responsibilities :
  • Ensure GO Staffs attendance and related task are managed and maintained in a timely manner
  • Update Daily staff attendances in the system (Shift Upload, Past upload, Attendance regularizations, update leaves (UA, ML, AU, etc)
  • Staff Leave to be manage by establishing a Leave Planner with close coordination and guidance from Snr Manager Customer Service, ensuring leave planner is in aligned with department's manpower budget.
  • All Leave related administrative task to be completed within the HR & Finance's set timeline (eg: Arrangement Vacation salary, booking/request of Air Ticket, uploaded leaves in the system, etc,)
  • Plan and implement Prepare and publish weekly Duty Rosters for Passenger Services, Baggage Services and Transport Services in coordination and guidance with Section Heads and should be aligned with department's pre-established manning plan prepared by GOM & his Deputy.
  • Ensure GO Staffs' related administrative tasks are completed in a prompt and effective manner (Assist on issuing Bank Letters, Create System user ID, Assist on facilitating salary advances and loan forms, Issuing of Uniform related items and effectively maintain the records, etc.).
  • Liaise with Snr Manager CS and relevant Sections Heads to ensure defined trainings are conducted to all GO Staffs with help of defined trainer or self.
  • Prepare a Training Planner in close coordination with stated Seniors and in accordance to the requirements defined in GOps Manual. It is the responsibility of GOps Administrator to ensure all GOps staffs are current on all the trainings
  • Facilitate the Training venues in accordance to Training Planner
  • Ensure all Trainings records (attendance sheets, certificates, feedback forms, etc.) are accurately filed/saved in the defined systems
  • Ensure All Training Materials (Ppt, Notes) are maintained/filed effectively and reviewed by relevant Team members/Trainers as per set standards/time frame.
  • Take complete ownership of effectively maintaining the defined system (either software or manual system) that's used to managing Training records and material for Ground Operations.
  • Conduct Department Induction & Orientation Training newly join staffs..
  • Responsible to ensure to complete all computer based trainings (CBT) to GOps staffs
  • Responsible to Monitor RAT & ERP Training records and ensure to support Head of Outstation Services for planning and executing Trainings for all resorts.
  • Take complete ownership of maintaining all the documents used in Ground Operations and supporting in preparations of some of those documents.
  • Responsible for ensure the documents stated in Master List of Documents (includes, GOM, SOP, Forms, etc.) are managed and maintained effectively.
  • Document need to be amended by GO Administrator with the direct guidance from Ground Operations Core Team, ensuring any such amendment happens in a prompt manner..
  • It is the responsibility of Administrator to ensure "current" documents are available for all GOps staff to use and any/all obsolete documents are archived immediately, once declared as obsolete.
  • All GOps Operational documents (missed pax records, Daily work allocation, vehicle logs, etc.) are to be effectively saved/filed in the specified system/location
  • Assist GOps Manager and Core Team to prepare documents (eg: Memos, Letters, Forms, etc..)
  • Responsible to ensure all GOps sections/areas as are been facilitated with required stationaries in a timely manner by raising the requisitions and get those drawn and delivered to the Sections effectively.
  • Ensure KPI data gets collected from relevant Sections of GOps on a daily basis and compile the KPI reports and by end of each month share the data with HR, once after getting the records being checked/approved with Snr Manager Customer Services (SMCS).
  • Support Snr. Manager Customer Services to manage the Customer Service Help Desk
  • Responsible to reply all General Queries within the set target period
  • Assist the GOps Core Team to prepare Letters for customers for their insurance purpose.
  • Assist SMCS to assign mails to Core Team to reply the mails within the set time frame
  • Close all tickets effectively, once the mail has been attended by assigned Team member.
  • Support on QA or Safety audits and take ownership of managing/updating of systems (Q-pulse or Centrik) on
  • Support/Assist the Head of Out Station Services (HOSS), by taking the responsibility of following-up on all seaplane outstation related NC/finding or observations, by communicating in writing with GE Team & Resorts, ensuring NCs gets closed before deadline or advise HOSS to request from GOM or his Deputy to request QA/Safety Team for extension for the NC.
  • Support/Assist Snr. Manager Customer Services (SMCS), by taking the responsibility of following-up on all Base Audits or non-seaplane outstations (if any) related NC or observations, by communicating in writing with Relevant Team, ensuring NCs gets closed before deadline or advise SMCS to request through GOM or direct to QA/Safety Team for extension of the NC.
  • Plan and organize meetings for GOps Teams
  • Organize quarterly meeting for each of the sections of GOps along with GOM & Core Team.
  • Organize Monthly meeting for all GOps Core Team, along with GOM & Core Team
  • Ensure Minutes of the meetings are shared within 24 hours.
  • Performing other duties assigned by Snr. Customer Service Manager and Ground Operations Manager.
