Purpose of Job
BASIC FUNCTION
Provides administrative assistance and logistical support related to training activities in the preparation, implementation, and administration of approved training plan, budget and procedures. Follows up with training providers to ensure that all the administrative related matters are done according to the plan, policies and procedures.
WORK PERFORMED:
Provides administrative assistance in the preparation of Takreer Training Plan, its implementation and training budget by compiling background information related to course organizers, training costs etc.
Participates in the preparation, consolidation and implementation, monitoring of the annual training budget.
Liaises with training organizations locally and abroad for quotations of In-house and External courses and prepares comparative cost analysis for management.
Follows up with Sites Training Coordinators for all matters related to Training Plan, registration of participants in the courses, mission forms etc.
Handles all routine correspondences, including memos, letters, e-mails, faxes for matters related to course schedules, nominations requests, registration of participants in the course, and prepares the proposal agreements/ letters.
Operates the PC in maintaining and updating of training plan and records for Takreer employees.
Checks, processes all invoices pertaining to course fees, hotel bills, catering costs, etc. for payments. Prepares monthly/annually statement of accurals for the Finance Division, and handles all queries related to training costs.
Coordinates with Public Relations Department for arrangement of visas, transportation, hotel accommodation, etc. for participants going on abroad course, and for course instructors / consultants etc.
Checks and processes travel mission forms received from the various divisions.
Processes all mission requests for conferences and seminars.
Participates in the preparation of the monthly, quarterly and annual training reports for management.
Performs other related duties as required, such as claiming vat amounts, opening and closing the training courses.
B.A in Education / Business Administration or relevant discipline.
5 years administrative experience in Personnel related to implementation and
administration of training plans, policies, and procedures.
Should be able to write Training manuals in ENGLISH & ARABIC.
Very good command of ENGLISH & ARABIC Languages.
Computer knowledge is essential.
Very good communication and interpersonal skills.
BILINGUAL CANDIDATES PREFERRED.
