Interview for Executive Secretary, Saudi Arabia

    Overseas Employment Opportunity for an Executive Secretary with Soundlines Saudi Arabia !!
    Core Responsibilities
    • Handling the Daily Calendar Schedule & Plan.
    • Making all Travel Arrangements ( Hotel Accommodations/Ticket Booking/ Itinerary Preparations)
    • Planning/Organizing/Scheduling Meetings, Conferences, Teleconferences & various events 
    • Preparation of various reports and Financial Data
    • Training & Supervising the Support Staff & Customer Relations
    • Creating Spreadsheets & Presentations
    • Handling calls(Incoming/Outgoing) and Visitors/Guests in absence of senior management
    • Able to handle all administrative duties & office support activities.
    • Ability to maintain confidential & sensitive information of the company.
    • Ability to Coordinate and work with all levels of Management/Staff/Overseas offices/Branches/Clients/Vendors 

    • Handling the Filing and maintaining all office files and important document.
    • Handling all the meetings arrangements i.e. Preparation of meeting papers, briefing materials and presentations as and when required
    • Well equipped with the Internet Surfing with strong Internet Research abilities.
    • Will be first point of contact with all correspondences and phone calls
    • Maintaining and providing a support service to the daily schedules
    • Handling Minutes of the Meetings
    • Handling executive's appointment schedule by planning and scheduling
    • Represents the executive by attending meetings in his absence; speaking for the executive
    • Welcoming the visitors and taking overall care of their hospitality (In-person/Telephone).
    • Addressing & Directing Clients/Visitors/Guests queries 

    • Preparation of MIS Reports by collecting and analyzing Information.
    • Providing historical reference by developing and utilizing filing and retrieval systems.
    • Maintain office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; verifying receipt of supplies.
    • Maintain professional and technical attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies.
    • Responsible for follow-up with local office staff for closure on tasks
    • Responsible for all tasks as assigned by his supervisor and seniors

    Experience required: - Min 2  - 5 years of experience in the Relevant Field.
