We are hiring for " Executive Secretary" for a leading Health Care company in Saudi Arabia


Role & responsibilities


As an Executive Secretary, your primary duties revolve around providing comprehensive administrative support to the executive leadership team.


Key responsibilities include:


  • Confidential Administrative Support: Execute highly confidential administrative tasks for the executive leadership, always ensuring discretion and professionalism.
  • Correspondence Management: Review and manage incoming and outgoing correspondence, responding to inquiries with tact and efficiency.
  • Operational Coordination: Coordinate daily operational needs, including scheduling appointments, managing calendars, and organizing meetings and conferences.
  • Visitor and Call Management: Receive visitors and handle incoming calls, redirecting them to the appropriate contacts as needed, while also filtering calls accordingly.
  • Calendar Management: Maintain and manage the executive team's calendar, scheduling appointments, meetings, and travel arrangements with precision and attention to detail.
  • Meeting Support: Prepare meeting agendas, record minutes, and ensure all necessary materials are organized and distributed in advance.
  • Travel Arrangements: Arrange travel reservations and itineraries as directed by the executive leadership, ensuring smooth travel logistics.
  • Relief Support: Provide relief support to staff members when required, ensuring continuity in administrative functions.
  • Timekeeping and Record Keeping: Maintain accurate records of timekeeping and other administrative data as required.
  • Office Management: Perform general office duties such as ordering supplies, managing office equipment, and maintaining cleanliness to ensure a conducive working environment.
  • Information Management: Create and maintain information and filing systems, both physical and digital, to facilitate efficient access to essential documents and records.
  • Special Projects: Assist with special projects and initiatives as directed by the executive leadership, contributing to the achievement of organizational objectives.
  • Perform any additional duties as needed to meet operational requirements and align with the scope of the assigned department.

Qualification:


  • Completion of a 2year diploma, associate's degree, or certificate program in office administration, secretarial studies, or a related field. A bachelors degree in medical Secretary field is preferred.

EXPERIENCE:


  • Minimum of 5 years of secretarial experience, preferably supporting executive or management teams. Experience in reporting to General Manager or Director-level leadership is highly desirable.

Certifications/Other requirements as applicable:

  • Ability to use office equipment.
  • Sound knowledge and familiarity with medical terminology.
  • Excellent communication skills.
  • Computer skills (Microsoft Word, Excel, PowerPoint, and Outlook) are required.
  • Demonstrates excellent time management and organizational skills.
  • Ability to work on own initiative, be a self-starter with no supervision.
  • Able to work in a diverse environment as part of a team.
  • Excellent communication skills with a high level of diplomacy and confidentiality.
  • Possess sound judgment and willingness to share knowledge.
  • Excellent command of English. Knowledge of Arabic is desirable.

Perks and benefits:

  • Basic Salary will be 4000 - 5000 SAR per month
