KGK Jewelry Botswana is seeking an experienced and dynamic Back-office Marketing, Sales & Procurement Executive. The ideal candidate will have at least 5 years of experience in the jewelry industry, with a focus on managing back-office operations, client communication, and procurement. This role involves close coordination with international clients, factory operations, and managing retail sales at the Botswana factory.
- Prepare detailed costings and quotations for USA clients, ensuring accuracy and timely delivery.
- Regularly communicate with the Factory Manager to monitor production timelines, update clients on the status of their orders, and resolve any issues promptly.
- Prepare detailed invoices and quotations, and manage the logistics of shipping finished jewelry to customers, ensuring compliance with international shipping standards.
- Oversee and manage sales at the Entice Boutique located at the Botswana factory, ensuring a smooth and efficient retail experience for local customers.
- Source raw materials like gold and diamonds from the group company based on production orders, ensuring timely availability of resources.
- Demonstrate a high level of proficiency in Excel for data analysis, reporting, and budgeting. Familiarity with ERP systems, especially Gati, is strongly preferred.
- Handle the importation of raw materials (e.g., gold and diamonds) and the exportation of finished jewelry, ensuring all documentation, compliance, and customs regulations are met.
- Conduct regular stock-takes of both raw materials and finished goods. Prepare inventory reports and ensure stock levels are maintained as per production and sales demands.
- Generate and maintain detailed procurement and sales reports to provide management with insights on stock movements, procurement efficiency, and sales performance.
Desired Skills:
- Minimum of 5 years in back-office operations, sales support, or procurement, preferably in the jewelry or luxury goods industry.
- Proficiency in Microsoft Excel and ERP systems (Gati preferred).
- Excellent written and verbal communication skills for liaising with clients and internal teams.
- Familiarity with international shipping, import/export regulations, and inventory management.
- Strong analytical and organizational skills to ensure accuracy in costing, quotations, and stock management.
- Ability to handle multiple tasks efficiently and meet tight deadlines in a fast-paced environment.
