•The expediting function will led by the Project Expeditor who will monitor, coordinate and administer specific Purchase Order and who will report to the Project expediting Manager. 
•The Project Expeditor will make the first contact with the Vendor for each Purchase Order and ensure that the Purchase Order acceptance has been received. He will maintain contact with the Vendor through regular communications by telephone and email at a level that ensures reliable information is passed on and prompt action to any directive is taken.
•Through continual monitoring of Vendor procurement and manufacturing schedules in accordance with the criticality rating (frequency and intensity) given and through regular contact with the vendor, potential delays will be identified and actions taken proactively to ensure program compliance.
•Expediting functions for timely receipt of Vendor drawings and manuals and subsequent revisions / corrections will be performed by the Document Controls team based in Home Office. A record of document approval status will be kept updated within the Project Document Control system. After the release of the Goods by inspection, the Vendor will be expedited for timely completion of final documentation and data books.
•The Field Expeditor will also visit critical equipment Vendors and selected sub-Vendors at regular intervals and , as directed, will review production plans and check drawing status, material status and manufacturing progress. The Field Expeditor will prepare an expediting report for all shop visits.
•Specific plans will be developed for all critical path equipment. Planning of the expediting effort will concentrate on identifying potential delay-causing events/ activities and taking pre-emptive actions before such events / activities occur.
•The Project Expeditors will prepare Expediting Reports with inputs received from Field Inspectors and Expeditors. These will be updated on a weekly basis and will be the input used by the Project Controls team to prepare the Procurement Tracking Report for measuring Progress. Weekly meetings chaired by the Project Manager / Project Procurement Manager will be held to monitor the status of Project Goods and will identify corrective actions required in mitigating delivery slippages, if there are any.
•The Project Expeditors will be responsible for closing ESD (Excess/ Shortage/ Damage) reports that are prepared after physical verification of goods received at the job site.
•For critical packages, a Resident Expeditor/ Resident Inspector will be assigned for full time presence at the Vendor works during critical manufacturing phase.
